What is a hotel room block?

A hotel room block is a group of rooms (usually 10 or more) set aside at a discounted group rate. It ensures your guests stay together and have guaranteed availability during busy Midwest event weekends.

How much does your service cost?

Our professional sourcing services are completely free for our clients. We are compensated by the hotels, similar to a travel agent, allowing us to focus entirely on finding you the best value.

How does the sourcing process work?

Share your event details with us via our inquiry form. We then leverage our local expertise to contact hotels, collect proposals, and present you with a curated list of the best options for your needs.

How long does it take to receive options?

Typically, you can expect to receive a comprehensive proposal package within 3 to 5 business days. We work quickly to secure competitive rates before hotels reach full capacity.

Is there a minimum room requirement?

Most hotels require a minimum of 10 rooms per night to qualify for a formal group block. For smaller groups, we can often discuss alternative "courtesy block" options that have no financial liability.

Do guests book their own rooms?

Yes. Once the block is established, guests typically book their own rooms using a dedicated reservation link or unique group code we provide. This is the simplest way for them to manage their own stay.

Do you negotiate the rates on our behalf?

Absolutely. We use our high-volume partnerships to negotiate the lowest possible rates and most favorable contract terms, such as reduced attrition and complimentary upgrades for the hosts.

What information is needed in the inquiry form?

We simply need your event dates, estimated guest count, preferred neighborhood or Midwest city, and any hotel brand preferences or amenities that are important to your group.

What locations do you serve?

We are Midwest specialists. While we have deep roots in Chicago, we manage blocks in Milwaukee, Indianapolis, Detroit, and other major hubs across the entire Midwest region.

Must I commit after receiving proposals?

There is no obligation to move forward with a proposal. Our goal is to provide you with the information needed to make the best decision; you only enter a contract when you find the perfect fit.

Will I have to sign a hotel contract?

Once you select a hotel for your room block, the hotel will provide a group contract outlining the terms of the reservation. This contract is between the client and the hotel. Midwest Hotel Block Co. assists with sourcing hotel options and facilitating introductions but is not a party to the hotel contract.

What is attrition?

Attrition refers to the minimum percentage of rooms that must be booked within a hotel room block. Some hotels require that a certain portion of the reserved rooms be filled. If the minimum is not met, the hotel may charge an attrition fee for unused rooms. We work to source hotels with favorable terms whenever possible and will help explain any contract details before you proceed.
